How long we keep information

We only retain your personal data for as long as necessary to fulfil the purposes we collected it for. Our retention periods are:

Order & Transaction Data: We retain your name, billing/shipping address, and contact details for 6 years following the end of the financial year in which your transaction occurred. This is a mandatory requirement to comply with UK tax and accounting laws (HMRC).

Marketing Data: If you have signed up for our newsletter, we will retain your email address until you unsubscribe. To ensure we do not keep data longer than necessary, we will automatically delete or anonymize your data if you have not opened or interacted with our emails for a period of 12 months.

General Correspondence: We keep records of customer service inquiries for 2 years to ensure we can provide consistent support should you contact us again.

Who we share information with

Data Processors
To fulfill your orders, we share your personal information (name, shipping address, and phone number) with specialist order automation and international-based warehouse partners.

While our administrative teams operate internationally, your physical order is also handled by our partners outside the UK to ensure efficient delivery.

Others we share personal information with
We may share information with organizations we’re legally obliged to share personal information with, such as HMRC or law enforcement if required.

International Data Transfers

Processing in the Philippines

Our company is registered in the United Kingdom, but our primary business operations and administration are conducted in the Philippines. By using our services, your personal information will be transferred to, and processed in, the Philippines. We ensure that your data is protected to the same standards as the UK by using International Data Transfer Agreements (IDTAs) approved by the UK Information Commissioner’s Office (ICO).

International Fulfillment
While we utilize international systems to manage orders, all physical fulfillment for our customers is handled via our partner warehouse facility outside the United Kingdom. We ship to and fulfill orders from locations outside the UK for our UK customers.
In accordance with Article 5(1) of the UK GDPR, we only provide our international logistics partners with the necessary information required for the sole purpose of delivery. Furthermore, pursuant to the derogation under Article 49(1)(b), these onward transfers are conducted strictly because they are necessary for the performance of the contract between you and our company. This ensures your information is used only to facilitate your delivery while remaining protected according to UK law.

Data Protection Standards
We ensure that your data is protected to the same standards as the UK, regardless of where it is processed. For all international transfers to countries without an adequacy decision—specifically our administrative hub in the Philippines—we use International Data Transfer Agreements (IDTAs) approved by the UK ICO. These agreements provide a high level of protection for your personal information.

How to complain
If you have any concerns about our use of your personal data, you can make a complaint to us using our contact details. If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the Information Commissioner’s Office (ICO).
